Advance payments and credit: when a tenant pays ahead
Record rent a tenant pays in advance as credit. BoardHub settles any balance first, holds the rest, and uses it on new bills automatically.
Last updated
Some tenants pay two or three months at once. Record that as an Advance payment: BoardHub keeps it as credit on their account and spends it on new bills as they're created.
Step by step
- Open Payments and tap Record Payment, or tap Record Payment on the tenant's profile.
- Pick the tenant.
- At the top, tap Advance payment instead of Pay bills.
- Enter the amount, Payment Date, Payment Method and Reference # if any.
- Tap Record Advance.

What happens next
- If the tenant still owes anything, that's paid first.
- Whatever is left is held as credit on their account.
- Every new bill for that tenant, whether you generate it, create it by hand, or it's made automatically, takes from the credit straight away. A tenant who paid three months ahead sees each new month arrive already paid.
Common questions
What if the credit doesn't cover a whole bill? The bill uses up the credit and stays partly paid for the rest.
Is this the same as the move-in advance? Not quite. The advance and deposit in Money setup record the move-in agreement. Use Advance payment when actual rent money is paid ahead.
Tips
- Paying bills with more than they add up to? In Record payment › Pay bills, the extra becomes advance credit automatically.
- Recording a payment through BoardHub AI also works: if a tenant pays more than they owe, the confirmation card shows the extra as Advance credit.
- Don't create future bills just to hold the money. That can double-charge the tenant later when the real bill is generated.
Tip: The tenant can see each bill being paid from their advance in their Tenant Portal, so there's no confusion about where the money went.
Frequently asked questions
Do I need to create future bills to hold an advance?
No. That's what credit is for. No bill is invented. The money waits on the tenant's account until real bills are made.
Where can I see how much credit a tenant has?
Open Record Payment for that tenant: a green note shows how much advance is on their account. Asking BoardHub AI for the tenant by name also shows it in their statement.
