How to record a tenant's payment (cash, GCash, Maya or bank)
Record rent or utility payments in BoardHub. Pick the tenant, tick the months being paid, enter the amount and method, and bills update on their own.

Whenever a tenant hands you cash or sends money directly, record it in BoardHub. The tenant's bills update right away and they can see the payment in their portal.
Step by step
- Open Payments and tap Record Payment. On a phone, tap Payments in the bottom bar.
- Under Who paid you?, search for the tenant and tap their name.
- Keep Pay bills selected. Under Outstanding Bills, tick the months and bills this payment covers.
- Enter the Total Payment Amount (₱) and the Payment Date.
- Choose the Payment Method: Cash, Bank Transfer, GCash, Maya, Check or Other. Add the Reference # for GCash, Maya or bank payments.
- Add Notes if you like, then tap Record Payment.

What happens next
Each ticked bill is marked Paid or Partially Paid, and the payment appears in your Payments list and the tenant's Payment History. If any advance credit is sitting on the tenant's account, a green note tells you at the top of the form.
Tips
- You can start from the tenant's profile too: tap Record Payment under Quick Actions.
- Paid more than the bills you ticked? The extra is kept as advance credit and used on the tenant's next bills. The green note under the amount tells you how much before you save.
- Tenant paying ahead with nothing owed yet? Tap Advance payment instead of Pay bills.
- Fastest of all: tell BoardHub AI "Juan 850 for October GCash" and tap Record payment on the card.
- Made a mistake? Use Edit or Delete on the payment, and the bill's balance is recalculated.
Tip: Paying less than the total? BoardHub applies it oldest bill first and tells you how many bills it covers before you save.
Frequently asked questions
A month shows No bill on record. What does that mean?
BoardHub noticed a month since move-in with no rent bill. If you pay it, the bill is created for you. If that month shouldn't be charged, tap the remove button so it isn't suggested again.
Do I need to record GCash proofs that tenants sent through the portal?
No. Approving them under Payments, For Approval records the payment for you.
