Room statuses explained: available, occupied, reserved, maintenance
What each room status means in BoardHub, which ones update by themselves, and how to mark a room under repair or reserved so it isn't counted as open.
Last updated
Each room has a status. Two of them BoardHub manages for you, and two are yours to set when a room shouldn't be offered.
The four statuses
- Available: no active tenants in the room right now.
- Occupied: at least one active tenant lives there.
- Reserved: someone has claimed the room but hasn't moved in yet.
- Maintenance: the room is being repaired or isn't for rent at the moment.
Available and Occupied update by themselves from your tenant list. Reserved and Maintenance stay exactly as you set them until you change them back.
Step by step: mark a room under maintenance or reserved
- Open Rooms and tap the room.
- Tap Edit room.
- Under Status, choose Maintenance or Reserved.
- Tap Save Changes.

What happens next
The room gets a grey Maintenance or amber Reserved label and is counted under reserved / maintenance on the Rooms page instead of as a room with space. When the repair is done or the boarder moves in, set the status back to Available. BoardHub switches it to Occupied once active tenants are in it.
Tips
- Your properties also have their own status (Active, Inactive, Maintenance) for the whole building. Change it with the pencil icon on the property card.
- Monthly rent bills follow your tenants, not the room status. A tenant marked Active in a Maintenance room still gets a rent bill, so update the tenant too if they've left.
Tip: For a tenant who has agreed to move in but hasn't arrived, set the tenant's own status to Reserved. Reserved tenants aren't billed until you change them to Active.
Frequently asked questions
I set a room to Occupied but it went back to Available. Why?
Available and Occupied follow your tenant list. A room with no active tenants shows Available, whatever you pick. To hold a room back, use Reserved or Maintenance instead.
