Room capacity and free beds: see who has space
Set how many people each room can hold, then see free beds, full rooms and vacant rooms at a glance on the Rooms page or by asking BoardHub AI.

Capacity is how many people can stay in a room. BoardHub compares it with the active tenants in each room to show you exactly where you still have space.
Step by step
- Open Rooms and tap a room, then Edit room.
- Enter the Capacity, for example 4 for a four-bed room, and tap Save Changes.
- Back on Rooms, read the summary card at the top: tenants in beds, how full you are, and how many beds are free.
- Use the chips beside it: with space, vacant, full, and reserved / maintenance.
- Tap any room to see its fill bar (such as 3 / 4 · 1 free) and the names of the tenants staying there.

What the room labels mean
- Empty: nobody is assigned yet, and the label shows how many beds are free.
- Partial: some beds are taken; the label shows how many are still free.
- Full: every bed is taken.
- Reserved and Maintenance: set by you, and not counted as rooms with space.
What happens next
Counts update by themselves when you add a tenant, move one, or set one to Moved. When you add a tenant, the room picker also shows each room's count, like 2/4, with an Available or Full tag.
Tips
- Sort by Most free slots to find space fast when someone inquires.
- On the go, ask BoardHub AI: "Which rooms are vacant?" It lists rooms with free beds and their rent.
Tip: A room with no capacity set counts as a one-bed room. Fill in the real number so your free-bed total is right.
Frequently asked questions
Why does a room show more tenants than I expect?
Only tenants with Active status count. If someone moved out but is still marked Active, edit them and set the status to Moved.
Do reserved tenants take up a bed?
No. The bed count only includes tenants marked Active.
